Privacy Policy

This policy explains what personal data AutoWorc collects through this website and through our products, Invoice Match and Payout Match, why we use it, who we share it with, and the choices you have.

Who we are

AutoWorc makes ready-made automations for back-office finance work.

For any question about this policy, email us at info@autoworc.com.

What we collect

When you use this website

  • If you send a message through the contact form: your name, work email, company if you give it, and your message.
  • Like any website, our hosting provider receives the technical details of each visit, such as your IP address and the page you asked for, in order to deliver it.

This website has no analytics or advertising code.

When you create an account

  • Your name, email address and password.
  • In Invoice Match: your business name, country and plan.
  • In Payout Match: the workspace and businesses you set up, the team members you invite, and the authenticator app you set up for two-step sign-in.
  • A record of sign-ins and actions in your account, with who did what and when. In Payout Match this record also includes the IP address and browser used.

Documents and data processed by Invoice Match

  • Emails and attachments that your suppliers, or your team, send to your business's Invoice Match addresses: invoices, purchase orders, delivery notes and statements. These can include the names and contact details of people at your suppliers.
  • The details read from those documents, such as supplier names, document numbers, dates, line items, amounts and tax.
  • Correction emails drafted for your suppliers, and the replies you choose to send.
  • If you connect QuickBooks: your company's details, expense accounts, tax codes and vendors, read from QuickBooks to set up matching.

Data processed by Payout Match

  • The payout reports from the marketplace stores you connect, kept unchanged as a record, and the payout lines made from them: sales, fees, refunds, ads and adjustments.
  • The results of the checks run on each payout.

Why we use it

  • To run the products: reading, checking and matching your documents and payouts, and showing the results to you.
  • To manage your account and sign you in, including stopping repeated wrong passwords and automated sign-ups.
  • To send the emails you ask for: sign-in and verification codes, password resets, team invitations, and the supplier emails you approve.
  • To keep a record of who did what in your account, which you can view.
  • To answer messages sent through the contact form.

Who we share it with

We use these service providers to run the website and the products. Each one receives only what it needs for its task.

  • Vercel

What it receives: Every request to this website and to the products, including your IP address and what you send in forms.

Why: Hosts this website and the products.

  • Resend

What it receives: Contact form messages; account emails with your name, email address and codes or links; supplier emails sent to Invoice Match addresses; and the supplier correction emails you approve, with the supplier's address, your business name, document numbers and the message.

    Why: Sends and receives email.

  • Cloudflare

What it receives: The document files received by Invoice Match and the payout reports received by Payout Match. On the Invoice Match sign-in, sign-up and password reset forms, your IP address and browser details.

Why: Stores files, and checks that sign-in forms are used by people, not bots.

  • OpenAI

What it receives: The text of the documents Invoice Match receives and your business name, and for supplier emails, the supplier's name, the invoice and order numbers and the differences found.

Why: Reads the details out of documents, and drafts supplier emails for you to check.

  • Mindee

What it receives: Scanned or image documents received by Invoice Match.

Why: Reads the text from scans and images.

  • Intuit (QuickBooks)

What it receives: If you connect QuickBooks to Invoice Match: the connection to your QuickBooks company, and the vendors you choose to add.

Why: Connects your accounting records to Invoice Match.

We may also share data where the law requires it.

Where your data is processed

Invoice Match runs on Vercel servers in Frankfurt, Germany.

How long we keep it

  • This website does not store contact form messages. They arrive as email in our inbox.
  • In Invoice Match, deleted documents go to a Trash, where they can be restored. An admin can delete them forever, which removes them from Invoice Match. The stored file and the record of actions about it are kept.
  • The record of who did what in your account is kept.
  • Disconnecting QuickBooks deletes our stored access to your QuickBooks company and cancels it with Intuit.

Your rights

Depending on where you live, you may have the right to:

  • see the personal data we hold about you
  • correct it
  • have it deleted
  • object to, or limit, how we use it
  • receive a copy in a common format

To use any of these rights, email us at info@autoworc.com. Invoice Match admins can also export their records as CSV files from the app.

You can also complain to the data protection authority where you live.

Cookies

This website does not set cookies or store anything in your browser.

The products use only what they need to work:

  • A sign-in cookie that keeps you signed in: up to 7 days in Invoice Match, and up to 12 hours in Payout Match.
  • In Payout Match, a short-lived cookie between your password and your authenticator code.
  • Short-lived cookies while you connect QuickBooks or a marketplace store, and for one-time notices.
  • Browser storage for display choices, such as the colour theme and hidden columns.

The Invoice Match sign-in, sign-up and password reset forms load Cloudflare's bot check. Neither product uses analytics or advertising trackers.
